One of the management’s main challenges for any institution is the correct and effective management of the information leakage risk.
The documents in the offices are circulating both as paper documents and digital documents, which are created, communicated, shared, then stored or destroyed. In each stage of the document’s life time, there is the risk of leakage or falsification of the contained information. Therefore, ensuring the security documents for the entire life time is mandatory.
It is known that the most exposed institutions to the risk of leakage are those who are activating in high-tech research and development areas and those who manage classified information.
CEPROHART has recently designed and developed a new solution which simultaneously prevents unauthorized printing, copying, scanning and destruction as well as classified / confidential documents stealing.
Description
In an organization the confidential/ classified information can be stored and/or circulate on magnetic media (hard-disc, server, CD, DVD, memory stick) or on regular office paper. If there are well-established protocols and IT procedures for magnetic media, it has been found that the regular office paper still remains very vulnerable. It is relatively easy for a malicious insider to copy, scan, destroy or steal paper documents that contain confidential / classified information. The main vulnerability which is exploited in this case by offenders is the fact that the paper used is an ordinary office paper. The copying, printing, scanning or destruction equipments do not distinguish between a type of paper or another.
The solution developed by us is based on transforming paper from a inert storage medium in an detectable magnetic storage medium becoming easily observed and followed.
For this reason we have developed an office paper range which contains in the paper structure a certain amount of magnetic microwires with well established sizes and magnetic characteristics, which preserves in the same time all the office paper specific characteristics (grammage, thickness, smoothness, whiteness, printing capacity). Because the microwires are uniformly distributed and randomly oriented in the whole sheet mass and on both surfaces, it is practically impossible to be removed without damaging the paper and makes it unusable or illegible.
Our solution – SAFEDOC SOLUTIONTM – consists of the following elements which are acting concomitant:
- a well defined perimeter, with a limited number of access points;
- installation at all access points of gate-type detectors which will notify the transition of a single sheet of paper with magnetic microwires;
- interdiction of introducing or use in the defined perimeter of regular office paper;
- installation of sensors on every printing, copying, scanning, destruction equipments that does not allow the working but only with magnetic paper;
- connecting all this sensors to a centralized monitoring system which aims to identify and neutralize any criminal attempt
Process work-flow
The advantages of proposed solution:
- it is impossible to deactivate paper by magnetic means or other;
- it is impossible to deactivate paper by detaching the microwires without damaging the sheet of paper: will be rejected by equipments;
- it is impossible to use a regular office paper in order to steal it: will be rejected by equipments;
- it is impossible to steal original or copied documents: the document will be detected at the access point.
Application
The solution is designed for companies, government institutions that want to exclude the risk of stealing, duplicating or destroying of documents containing high- confidential information, in targeted areas such as: research and development, pharmaceuticals, aerospace, electronics, classified information management, military etc.
Instruments and verification techniques
The verification tools are even included in the SAFEDOC SOLUTIONTM system.
The access gates as well as all the printing, copying, scanning, destruction equipments equipped with sensors that does not allow the equipment operation but only with magnetic paper represent verification tools as well.
